Who we are. Lodgemark (app.lodgemark.org, admin.lodgemark.org, lodgemark.org) is operated by Lodgemark Data Ltd, registered in England and Wales, company number 17405388, registered office 11 Bell Lane, Lewes, East Sussex, BN7 1JU, United Kingdom. How we use it. To run the service: your record, your trends, your Rating (private to you), peer comparisons under our disclosure rules, the Reporting badge, and the communications you choose (reminders, digests). To review applications. To read evidence documents you upload and suggest figures (see AI below — you confirm every value). To meet legal obligations.
The Data Covenant. Our promises about your data are stated in the Data Covenant shown at sign-up and restated here: your occupancy, guest-night and staff counts are visible only to you; peer figures appear only when at least three similar properties report; financial figures only as group medians with at least five contributors and no single contributor over 40%; your data is never sold, licensed or passed on in any form that identifies your lodge; close your account and your data is deleted after a 30-day reopen window — not retained "for benchmarking". Anonymised aggregates that cannot identify any lodge may be retained and used, including commercially, under those same thresholds.
AI processing. When you upload an evidence document, we use an AI service (currently Anthropic) to read it and suggest the figure. The AI reads only what you upload, suggestions are always confirmed by you before saving, and the AI never rates or verifies. Uploaded documents are processed for this purpose only.
Who we share with. Service providers who host and run Lodgemark under contract (currently: hosting and database providers, email delivery, file storage, AI document reading). If you purchase Verification: the independent reviewer engaged for your verification, and the registry that records your certificate. Professional advisers, and authorities where the law requires. Never data brokers, never advertisers.
International transfers. Our providers may process data outside the UK; where they do, transfers rely on recognised safeguards (adequacy or standard contractual clauses).
Retention. Active account: for as long as you're a member. Closed account: deleted after the 30-day reopen window, except anonymised aggregates and records we must keep by law.
Your rights (UK GDPR). Access, rectification, erasure, restriction, objection, portability, and withdrawal of consent where processing relies on it. Write to terry@lodgemark.org. You may complain to the Information Commissioner's Office (ico.org.uk).
Cookies. Only what sign-in and security require. No advertising cookies, no third-party analytics cookies.
Changes. We'll post changes here and, for material changes, tell members directly.
